Sensitive Information — Children & Medical Data
We treat information about your child — particularly health conditions, special needs, and disabilities — with the highest level of sensitivity and care.
- This information is used solely to ensure your child's safety and to adapt our program delivery to their individual needs.
- Access is restricted strictly to the coaches and coordinators directly responsible for your child's program.
- We will never share a child's medical or special needs information with any third party without your explicit written consent, except where required by law or in a genuine medical emergency.
- Under no circumstances do we collect or process personal data directly from children. All information is provided by, and all consents are obtained from, the parent or guardian.
We may share your information only in the following limited circumstances:
- Program Partners & Schools: If your child's program is delivered in partnership with a school or third-party venue, basic coordination information (e.g., attendance lists) may be shared with that institution solely for program delivery purposes.
- Service Providers: We may work with trusted third-party tools (e.g., email platforms, payment processors, analytics providers) who assist us in operating our services. These parties process data only on our instructions and are bound by confidentiality obligations.
- Legal Requirements: We may disclose information if required to do so by law, a court order, or a government authority.

Photography, Videos & Social Media
- LittleTortos may capture photographs and videos during sessions for use on our website, social media channels, and promotional materials.
- Media consent is sought at the time of enrollment. If you do not wish for your child to appear in any published media, please notify us in writing at registration — we will strictly honour this request.
- Where images or videos are published, we will not display a child's full name alongside identifiable images without separate specific consent.
- You may withdraw media consent at any time by writing to us at info@littletortos.com. We will remove identifiable images from future publications; removal from previously published content (e.g., archived social posts) will be handled on a best-effort basis.
- We retain personal data only for as long as is necessary to fulfil the purposes for which it was collected, or as required by applicable Indian laws and regulations.
- Enrollment and health records for enrolled children are retained for a minimum of 3 years after the last program participation, for safety, legal, and audit purposes.
- Website enquiry and contact form data is retained for up to 12 months from the date of enquiry.
- Payment transaction records are retained in line with applicable tax and accounting regulations.
- When data is no longer required, it is securely deleted or anonymised.
As a parent or guardian whose data we hold, you have the following rights:
- Access: Request a copy of the personal information we hold about you or your child.
- Correction: Ask us to correct any inaccurate or incomplete information.
